Meeting Minutes: Wednesday 15/03/2018

Meeting Start: 11:00am

There have been communication issues that can be addressed by increasing the frequency of executive meetings
Each next meeting will be organised before the end of each current meeting

All exec agree that a new Esports society would have to be one that we are in close contact with
This new society will take some load of our shoulders so that we can focus more on the social side of gaming without having to overly worry about the competitive side

Each exec agree that they will make a document on an in depth guide to what their roles entail and how to properly perform their roles
This is will be done as exec grooming is to be revived. It is the process of properly preparing the next exec that are elected at the end of the year AGM. This will mean that the new executives are prepared to take on the roles for the rest of the year

We need to make a list of lieutenant that don’t help often to decide who will continue to hold to role of lieutenant

We did very well and attracted many people
We managed with the load on the day and definitely had a presence
There were many people that hung around us all day
We had the vive and consoles that attracted many people
Negatives:
- There were setup issues where we had a booth and didn’t utilize the bench top in the wall
- The booth was disbanded part way through as we didn’t need it

That esports sporting society won’t be fully formed until next year
There is clearly going to be managers that manage and train the players. We can have Alex possibly working on that with them
Some competitive events can be managed by them or both clubs can run it together
We will have to sign up to the Australian Esports League to register as a competitive uni society
Alex will coordinate things to see what events running this year

We need to make a stock take
Can try to book a wednesday in the future to do the stock take. Jess please do this.
The day is for stocktake only and anyone that shows up can either help us do stock take but can not play games in the wrong or use our equipment

We should keep the price at the regular price to draw in people because we already don’t have enough members this year
We can’t change the price already advertised due to marketing legal issues
We should create possibly a facebook group for all the exec from each society
It would be best to say maximum team sizes is 6 so the winning team only gets 6 prizes. Any extra will risk not getting prizes
THERE ARE TO BE A MAXIMUM OF 96 TICKETS SOLD. WE CAN ADD EXTRA LATER
We need to discuss with other exec about how much everyone is looking at chipping into the bar tab and whether they are willing to make losses or want to break even
