Meeting Minutes

Security

• We currently have three cupboards but only one of them are lockable
• The storage room side room has a lock, it uses the same key as the Board games/computer cables cupboard
  • It’s possible that nook/ side room in the storage room will be permanently EGG’s

 

On Campus Collaborated Events

• Geek Trivia
  • Recommendation to reduce the number of invited societies to 6
  • The idea is to invite Mahjong, Anime, Drawing Circle, Interactive Game Soc, Chess, and Dog Soc
  • Idea to have a proper meeting with the participating societies
  • Gachon will contact the societies and Kieren will be organising the agenda
    • Gachon will have one-on-one meetings with each society to see if they are interested and what they want
    • Kieren will be the chairperson for the big meeting to have the interclub agreement
  • Idea to use the joint event grant twice (one group of three will be booking out the theatre lounge and the other group will book out the Underground)
  • Recommendation to have a security guard to check tickets
    • Only issue is to make sure that no ones goes near the store fronts, solution is to barricade it with barricades from building 11
  • The idea is to make the theatre lounge a socialising and relaxing space, the underground for trivia and drink
    • Chess, Mahjong and EGG will be in the underground in the “nook”
    • The Theatre lounge can be used by other clubs to present something but the main focus to make it a chill space
  • The idea is to have Trivia end around early 11 so that people who take transport can get home
• Idea to have a separate event with ENG Soc

 

Rebranding

• We have assets ready for collecting new club name data
• We will need to have an SGM at the end of April to decide the new name, we will also need to have the mission statement done before the SGM
  • The new mission statement needs to be finalised by 10^th of April
  • The new name and logo
  • A list of what events will be held after the rebrand
    • Remember to give that to
  • A budget after the rebrand with regards to events
    • Collaborate with Dale and talk about the costs of the rebrand
    • This includes
      • Printing
      • Events
      • Other costs
    • The idea is to have the SGM on the 18^th April
    • Reminder to stop booking EGG events after the 28^th April
    • Some other things that need to be addressed in the SGM
      • Constitution changes with regards to how the Producer section is read
        • Further info later
      • Constitution changes to include the EGG Handbook changes

 

Specialist Position

• Voting for Jacob to be a printing specialist
  • Amount Voting: 5
    • For: 2
    • Against: 1
    • Abstain: 2
  • Jacob is now a specialist

• Board Geeks are cool, they just want to know when the next event is
• Yeo’s is now a possible sponsor
  • Decision pending on whether we want them to be a sponsor
    • To be decided after rebranding
  • Blizzard
    • Current contact is Daniel and he wants to know if rebranding is going to affect them
  • Gigabyte
    • Wants to wait to after we rebrand to decide if they want to sponsor us

    • Some Unis are going silent
    • They are still providing us some stuff

  • Good Games
    • Members of EGG will get a 5% discount when they provide their EGG card
      • EXCEPT FOR SINGLES
    • They can give us some decks if they aren’t so hot

• Fighter game event
  • Possible contact to have Anime Fighting Game Events
  • NO SMASH
• Magic the Gathering draft event
  • Idea to have this when there’s 8 people or so interested
  • Also idea to have club owned commander decks
    • Deck plans to be done by Thomas and Jacob

    • Event concept is to make a game
